Hotel PMS Integration Guide: Connecting Guest Room Control to Shiji, Zhongsoft and Similar Systems

Hotel PMS integration is the link that lets a property management system (PMS) and a guest room control system (GRMS) share check-in, check-out and room-status events so rooms can switch between welcome and vacant modes without staff walking every floor. In practice this usually means a PMS gateway between the front-desk PMS and the room controllers, plus a written interface list for the exact PMS name and version on site.

Short answer: HotelHub's HH-PMS gateway hooks Xishuan, Zhongsoft, Shiji, Lvcheng and similar PMS. For Opera / OHIP and other brands or versions, send the PMS name and version so compatibility can be confirmed before design freezes. Always ask who pays for any PMS-vendor interface licence.

This guide explains what hotel PMS integration actually moves, how a gateway sits in the architecture, what differs across common PMS families, and what to prepare before you ask for a quote.

What hotel PMS integration actually does

Without integration, guest-room control and the front desk are two separate systems. Staff may still set scenes by hand, and engineering may not see vacancy in real time. With a working link, typical events include:

DirectionEvent or dataWhy it matters
PMS → GRMSCheck-inRoom can enter a welcome scene; HVAC and lighting move to comfort settings
PMS → GRMSCheck-out / vacantRoom can go to energy-saving or vacant mode; power and HVAC policies apply
PMS → GRMSRoom move / extend stayControllers follow the new occupancy state
GRMS → PMS / front deskOccupied / vacant, DND, make-up room (where supported)Housekeeping and front desk see room status without phone calls
GRMS → engineering viewDevice or offline alarms (scope varies)Faults are visible next to room status

Exact fields and message names differ by PMS vendor and by the interface product they sell. The project document should list every event you need, not only "PMS connected".

Where the PMS gateway sits in the system

A typical HotelHub layout follows the same layers described in our guest room control system guide and on the guest-control system page:

  1. In-room endpoints — switch panels, thermostat, curtains, card or face-ID power, door contacts.
  2. Room control unit (RCU) — one per room or suite; keeps room logic running even if the uplink drops (confirm offline behaviour in design review).
  3. Floor or building gateway / server — collects RCU status.
  4. PMS gateway (HH-PMS) — translates between the hotel PMS and the guest-control side.
  5. PMS at the front desk — the system of record for reservations and folio.

The HH-PMS product page lists model HH-PMS, lead time 14–28 days, warranty 12–24 months, with price and lead time confirmed on inquiry. HotelHub supplies survey, delivery, install and after-sales; the installation arrangement is agreed per project.

Locks and electronic door plates can share occupied / DND / make-up-room status with the RCU where the lock brand supports it. See smart locks and door plates. Larger properties may also feed GRMS data into a building management system; KNX is a common path when the tender already specifies KNX (see the KNX RCU host).

Shiji, Zhongsoft, Xishuan, Lvcheng — and Opera-class systems

Buyers often ask for a single answer: "Do you support our PMS?" The useful answer is version-specific.

PMS family (examples)What the live HotelHub catalog statesWhat you should still confirm
ShijiListed among systems HH-PMS hooksExact product line / version and interface module name
ZhongsoftListed among systems HH-PMS hooksVersion, message set, who owns the interface licence
XishuanListed among systems HH-PMS hooksSame as above
LvchengListed among systems HH-PMS hooksSame as above
Similar / other PMSCovered as "similar PMS" on the product pageName + version for a written compatibility check
Opera / OHIP and other international PMSNot listed by name on the HH-PMS pageTreat as confirm-on-inquiry; do not assume a standard SKU

Opera (and related Oracle Hospitality / OHIP deployments) is a frequent buyer question on international projects, but HotelHub does not publish a blanket Opera interface claim on the live product page. The safe process is the same as for any unlisted brand: send the PMS name, version, preferred protocol, and whether the PMS vendor requires their own certified interface or licence. Clarifying licence cost and lead time early avoids redesign late in the project.

Wired, wireless and hybrid rooms still need the same PMS plan

PMS integration is independent of whether rooms use RS485, KNX, BLE Mesh or PLC RCUs, but the survey still matters:

  • New-build — freeze PMS brand/version and the GRMS interface list before electrical drawings lock. See the new-build smart hotel package.
  • Operating hotels — wireless or hybrid guest-control can retrofit without rewiring — often about 8 hours per room, with a site survey confirming the plan. See live-hotel retrofit and wired vs wireless RCU.
  • Mixed floors — one PMS gateway design can serve mixed RCU types if the building server and message map are designed that way; document it explicitly.

Interface checklist: what to ask every supplier

Ask for written answers before you award the GRMS or PMS interface package:

  1. PMS name and version covered by the quote (not only the brand family).
  2. Protocol / API (vendor interface product name if any).
  3. Event list — check-in, check-out, room move, DND/MUR, alarms — with direction for each.
  4. Who pays the PMS-vendor interface licence, and how long that licence takes.
  5. Test plan — who provides a test PMS or sandbox, and who signs off on site.
  6. Failure mode — what the room does if the PMS link drops; what the front desk sees.
  7. Security — network placement of the gateway, account ownership, and change control.
  8. Documentation language — handover manuals and training for the local team.

Pre-RFQ information to send

Before you ask for a hotel PMS integration quote, prepare:

  1. Hotel name, city, room count and room types
  2. New-build or renovation; whether the hotel stays open
  3. PMS brand, product name and version (screenshots of the about/licence screen help)
  4. Whether a PMS interface licence is already purchased
  5. Lock brand (if chosen) and whether door plates are in scope
  6. Required room functions (scenes, HVAC, curtains, DND/MUR)
  7. Preferred network topology (VLAN for PMS / GRMS if IT has rules)
  8. Target opening date and delivery port

Send this through the contact / RFQ form or WhatsApp. An engineer replies within one working day. Price and lead time are confirmed on inquiry.

What drives cost (no list prices)

We do not publish a fixed PMS-integration price because scope varies. The quote usually moves with:

  • Whether the PMS version is already on the HH-PMS hook list or needs a custom confirmation
  • PMS-vendor licence and any third-party middleware
  • Number of rooms and whether status must flow both ways
  • Lock / door-plate linkage in the same package
  • On-site commissioning days versus remote support
  • Language of handover and training

For room hardware cost drivers (wired vs wireless, panels, curtains), see the GRMS buyer's guide.

FAQ

What is hotel PMS integration in a guest room project?

It is the interface that lets the property management system and the guest room control system exchange occupancy and service events — typically check-in, check-out and room status — so rooms can change mode automatically and the front desk can see status without walking the floor.

Which PMS brands does HotelHub's HH-PMS gateway support?

The live product page states that HH-PMS hooks Xishuan, Zhongsoft, Shiji, Lvcheng and similar PMS. For any other brand or version, including Opera / OHIP, send the exact name and version so we can confirm compatibility.

Do we still need a PMS gateway if we only want local room scenes?

If rooms only need local panels and never take events from the front desk, a PMS gateway may be out of scope. Most hotels that want automatic welcome / vacant behaviour and shared DND/MUR status will plan a PMS link.

Who provides the PMS interface licence?

It depends on the PMS vendor. Some sell or certify their own interface; others allow a gateway vendor to connect under a licence. Clarify who buys it, who schedules the vendor, and how long it takes before you freeze the programme.

Will PMS integration work with a wireless RCU retrofit?

Yes in principle: the PMS gateway talks to the building guest-control side, not to each wireless panel. Wireless or hybrid guest-control can retrofit without rewiring — often about 8 hours per room — with a site survey confirming the plan. See live-hotel retrofit.

Is HotelHub an official PMS or brand store?

No. HotelHub is an independent hotel-engineering integrator. We package guest-room control, network, locks, screening and FF&E for hotels in Africa and the Middle East, and quote by inquiry. There is no online checkout.
