Hotel Guest Room Control System (GRMS): Buyer's Guide

A hotel guest room control system (GRMS) is the set of controllers, switches and sensors that run lighting, air-conditioning, curtains, door status and power in each guest room, and report that status to the front desk and engineering team. At its core is a room control unit (RCU) in every room. You can build it on wired buses (RS485 or KNX) for new-build hotels, or on wireless or power-line links (BLE Mesh, Zigbee, PLC) to retrofit an operating hotel without rewiring.

This guide explains how a GRMS is put together, how to choose between wired and wireless designs, what it connects to, and what to prepare before you ask for a quote.

What a guest room control system controls

A typical GRMS covers six subsystems in each room:

SubsystemTypical devicesWhat the guest or staff gets
LightingSwitch panels, DALI dimmers, scene keysOne-touch scenes such as "welcome", "sleep" and "all off"
HVACRoom thermostat / fan-coil controllerSetpoints tied to occupancy so empty rooms are not cooled at full power
CurtainsCurtain motorsOpen and close from the panel or a scene
Door and occupancyCard or face-ID power switch, door contact, presence sensorRoom power and "occupied / vacant" status
Service requestsDo-not-disturb / make-up-room keys, electronic door plateHousekeeping sees requests without phone calls
AV and sensorsTV, voice panel, energy meterUsage data for engineering

The exact device list differs by room type and project scope; it is set during design.

How the system is built

Most GRMS designs follow four layers:

  1. Endpoints in the room: switch panels, thermostat, curtain motor, sensors, card power switch.
  2. The RCU, one per room (or per suite), which runs the room's logic. For example: card inserted → welcome scene on → HVAC to comfort setpoint.
  3. A gateway or server that collects status from every RCU on a floor or in the building.
  4. Software at the front desk and engineering office, which can connect to the property management system (PMS) and the lock system.

Because room logic sits in the RCU, many designs keep basic room functions running even if the link to the server drops. Confirm how your chosen system behaves offline during design review.

Wired vs wireless vs hybrid: choosing the RCU link

LinkStandard behind itBest fitTrade-offs
RS485 (wired)TIA/EIA-485 serial busNew-build hotels where cable can be pulled before finishingVery stable; needs cabling planned in the design stage
KNX (wired)ISO/IEC 14543-3 open building-automation standardProjects that also need a building management system (BMS) or a KNX-specified tenderWide device ecosystem; higher device and engineering cost
BLE Mesh (wireless)Bluetooth SIG Mesh specificationRetrofits in operating hotels; boutique hotels and apartmentsNo new control cable; plan radio coverage and gateways
PLC (power-line)Data over existing power wiringRetrofits where the power wiring is in good conditionReuses existing wires; depends on power-line quality
HybridWired backbone + wireless endpointsPartial renovations, mixed old and new floorsCombines stability and speed of installation

A simple rule: if walls and ceilings are open, go wired; if the hotel must stay open, go wireless or hybrid. KNX is often chosen when the project also has a KNX-based building management system or the tender specifies KNX; otherwise RS485 is a common, simpler wired option. The final choice depends on project scope.

New-build vs retrofit

New-build hotels should fix the GRMS design before the electrical drawings are frozen. Cable routes, back-box sizes for switch panels and the position of the RCU (often in the ceiling or wardrobe) all need to be on the MEP drawings. HotelHub's new-build smart hotel package bundles guest-room control with the hotel LAN, locks, security screening and FF&E in one schedule.

Operating hotels usually cannot close floors for weeks. Wireless or hybrid guest-control can retrofit without rewiring — often about 8 hours per room. A site survey confirms the plan. See our live-hotel retrofit solution.

Connecting to the PMS, locks and BMS

A GRMS becomes much more useful when it talks to the hotel's other systems:

  • PMS: check-in and check-out events from the PMS can set rooms to "welcome" or "vacant" mode, and room status can flow back to the front desk. HotelHub's HH-PMS gateway hooks Xishuan, Zhongsoft, Shiji, Lvcheng and similar PMS. For other PMS brands and versions, contact us to confirm compatibility.
  • Door locks and door plates: the lock system and the electronic door plate can share "occupied / DND / make-up room" status with the RCU. See smart locks and door plates.
  • BMS: larger properties often feed GRMS data into the building management system; KNX is a common choice here (see the KNX RCU host).

Ask every supplier for a written interface list: which PMS versions, which protocol, and who pays for the PMS vendor's interface licence. Interface licence arrangements vary by PMS vendor, so clarify them early.

Pre-RFQ checklist: what to prepare

Before you ask for a quote, prepare:

  1. Number of rooms and room types (standard, suite, accessible)
  2. New-build or renovation, and whether the hotel stays open during works
  3. Drawings: floor plans and, for new-build, electrical drawings
  4. PMS name and version, and lock brand (if already chosen)
  5. Required functions per room type (lighting scenes, HVAC, curtains, DND/MUR, door plate)
  6. Switch-panel finish and language (for example English/Arabic engraving)
  7. Local voltage and plug or back-box standard
  8. Target opening date and delivery port

You can send this through the RFQ form or WhatsApp. An engineer replies within one working day.

What drives the cost

We do not publish a per-room price because the spread between projects is wide. These factors move the quote most:

  • Link type: wired systems move cost into cabling and labour; wireless systems move it into devices and gateways.
  • Devices per room: the number of switch panels, dimming circuits, curtain motors and sensors.
  • Panel finish: standard touch panels vs custom metal gang panels.
  • Integrations: PMS, lock and BMS interfaces.
  • Installation model: supply only, supervised installation, or full installation on site.

Because these factors vary so much, the price is confirmed on inquiry after we review your room count and requirements.

How a HotelHub project runs

  1. Survey: drawing review and, where the project requires it, a site survey. Scope is agreed per project.
  2. Design and BOM: room-by-room device list and system drawing.
  3. Delivery: lead time listed on our RCU product pages is 14–28 days; price and lead time are confirmed on inquiry.
  4. Installation: HotelHub supplies survey, delivery, install and after-sales; the installation arrangement is agreed per project.
  5. Handover: commissioning and handover, with a warranty of 12–24 months as listed on the product pages.

FAQ

What is the difference between a GRMS and an RCU?

The RCU is the controller inside one room. The GRMS is the whole system: all RCUs, the in-room devices, the gateways and the management software.

Can a guest room control system be installed without rewiring?

Yes. Wireless (BLE Mesh, Zigbee) or power-line (PLC) RCUs reuse the existing power wiring and replace switches with wireless panels, so walls do not need to be opened. A site survey confirms whether the existing wiring is suitable.

Is wired or wireless RCU better for a new hotel?

For a new-build hotel, wired RS485 or KNX is usually preferred because the cable can be installed before finishing and a wired bus is not affected by radio interference. Wireless is mainly chosen for retrofits and smaller properties.

Does the GRMS work with our PMS?

It depends on the PMS and its interface. HotelHub's HH-PMS gateway hooks Xishuan, Zhongsoft, Shiji, Lvcheng and similar PMS. For other PMS, send us the name and version and we will confirm compatibility.

How long does delivery take?

Our RCU product pages list a lead time of 14–28 days. Price and lead time are confirmed on inquiry, and installation time depends on project scope.

Is HotelHub an official brand store?

No. HotelHub is an independent hotel-engineering integrator. We package guest-room control, network, locks, screening and FF&E for hotels in Africa and the Middle East, and quote by inquiry.
